Defining 2025: A Year of Innovation, Growth, and Achievement

2025 was a transformative year for Rob Levine Legal Solutions, one defined by bold moves, powerful partnerships, and a continued commitment to helping personal injury law firms operate smarter, scale faster, and serve clients better. 

From the consolidation of our services under one unified brand to new integrations, technology launches, and the growth of our Mastermind community, this year was all about building a stronger foundation for the future of law firm operations. Let’s take a look at what defined 2025.  

Innovation and Performance 

Innovation continued to drive every part of Rob Levine Legal Solutions in 2025.  Across both Medical Record Retrieval and Remote Staffing, the focus was on improving performance, expanding integrations, and setting measurable standards for success. 

Overall Brand Growth 

We kicked off the year by consolidating all services under the Rob Levine Legal Solutions brand. This unified two previous entities, Top Notch (Legal Remote Staffing) and Records on Time (Medical Record Retrieval), into one comprehensive solution for law firms. By bringing these operations under one roof with the Mastermind Group, this milestone marked the official integration of all three pillars of Rob Levine Legal Services. 

We achieved BBB Accreditation this year as well. This officially recognized our ongoing commitment to transparency, accountability, and ethical business practices, the values that have guided Rob Levine Legal Solutions since its inception. Then, in October, we unveiled a completely rebranded website, featuring a more modern design and simplified, sleeker navigation to better showcase our suite of law firm solutions. 

Medical Record Retrieval 

This year marked major progress for our Medical Records division. We launched Clio and Neos integrations in July, with clients from both platforms joining that same month. By November, our team had surpassed last year’s total record volume with a projected 9% increase year over year. We also achieved a significant operational milestone with an 11% increase in the percentage of records received within 30 days, reflecting faster turnaround and improved efficiency. 
 

As of November, 171 active clients were using our record retrieval services, the highest in our history. The EHR Integration, currently being piloted with Rob Levine Law, will soon allow clients to access records within 24 to 48 hours.  

Remote Staffing 

We diversified our remote staffing services in August with the introduction of Medical Record Retrievers. This new role is designed to give firms dedicated, trained professionals who can handle record management efficiently and affordably. 

Our Remote Staffing division experienced a strong year of growth and expansion. In 2025, we placed 70 professionals across partner law firms, including 12 Intake Specialists, 11 Legal Assistants, 44 Case Managers, and one Medical Record Retriever added in October. Our academy continues to deliver skilled professionals who help law firms scale efficiently while reducing costs and improving client service delivery. 

Strengthening and Building Partnerships 

Partnerships remained a cornerstone of our growth in 2025. Our technology integrations expanded to include Clio and Neos, adding to our existing partnerships with leading CMS platforms. These integrations ensure seamless data flow from our system to the law firms. 

Mid-year, we entered a new partnership with FasterOutcomes, a platform that allows law firms to turn complex records into clear, actionable insights faster than ever before. This partnership allows clients who have signed up with FasterOutcomes to receive medical records from us and take advantage of the AI summaries and other benefits that FasterOutcomes offers. 

We had several events in 2025; some that we hosted and some that we attended. One highlight was when Rob Levine shared his expertise on operational efficiency and profitability when he was a featured speaker on the Achieve Peak Practice webinar. He offered insights on systemizing operations and leveraging technology and set the tone for a year of continued innovation. Later in the year, he took the stage at the Disrupt Legal Summit, challenging law firm owners to embrace change and use disruption as a catalyst for growth.  

We also held our two yearly in-person Mastermind meetings. One was in Florida, and the other in Chicago. Each two-day event gave us the opportunity to connect with law firm leaders, share best practices, and reinforce our commitment to operational excellence through collaboration and innovation. 

In addition, we launched our Mastermind Membership Portal. This portal gives members exclusive access to resources, event recordings, implementation tools, and networking opportunities. The new hub keeps every member connected, informed, and supported between live sessions, offering even more value to the membership.  

Investing in People  

At Rob Levine Legal Solutions, people are at the heart of our success. This year, we expanded our internal team by welcoming four new Account Executives and a Sales Manager, all focused on supporting our growing client base and helping more firms implement our solutions. 

Our Academy continued to play a vital role in training and developing top-tier talent for remote staffing placements, ensuring that every professional we deploy is equipped with the skills, communication standards, and cultural alignment our partner firms expect. Our Medical Records staff sets a high bar with efficient, thorough record retrieval that allows our clients to keep their cases moving forward quickly and smoothly. We appreciate the academy’s trainers and Records on Time staff and want to give them the recognition they deserve. Their dedication to quality and consistency directly impacts client satisfaction and performance outcomes.

What’s Next? Looking Ahead to 2026 

2025 was a year of building. 2026 will be a year of acceleration. As we move into 2026, our focus is clear: to continue delivering smarter systems, stronger partnerships, and measurable results for our clients. We will ring in the new year with the launch of our new EHR capabilities in January. We will continue to find and train incredible talent so you can thrive with remote staff that are ready to step into their new role.
